Zuid-Afrikaans Hospital is seeking an experienced Stores Manager to oversee and coordinate the day-to-day operations of the Surgical/Consumable Stores and Goods Receiving functions.

Role

The successful candidate will be responsible for ensuring effective stock control, goods receiving, distribution, inventory management, billing and supplier management, while providing strong leadership to the Pharmacy Stores and Goods Receiving teams. The role will contribute to stock optimisation, cost containment, revenue assurance and continuous operational improvement.

Responsibilities

1. Leadership & Team Management

  • Lead, supervise and provide daily direction to the Pharmacy Stores and Goods Receiving teams, ensuring effective task allocation and service delivery.
  • Manage staffing requirements, rosters, attendance, performance and staff development in line with organisational policies.
  • Foster a culture of accountability, accuracy, teamwork, service excellence and continuous improvement.

 

2. Goods Receiving & Distribution

  • Oversee the accurate and timeous receiving, verification, documentation and processing of all deliveries.
  • Ensure deliveries are correctly allocated and distributed to the relevant hospital departments while maintaining appropriate controls and traceability.
  • Monitor receiving and distribution processes to minimise losses, damage, discrepancies and unauthorised stock movement.

 

3. Inventory & Stock Management

  • Ensure effective inventory management to maintain appropriate stock availability while minimising overstocking, shortages, dormant and expired stock.
  • Monitor stock levels, cycle counts, stock variances and stock takes, ensuring discrepancies are investigated and corrective action implemented.
  • Drive stock optimisation initiatives to improve inventory accuracy, turnover and cost efficiency.

 

4. Billing & Revenue Assurance

  • Oversee stock billing and credit processes to ensure that stock issued to patients is accurately and timeously billed.
  • Monitor billing and credit performance, identify recurring issues and implement corrective measures with relevant departments.
  • Ensure accurate stock movement and documentation to support financial controls and revenue assurance.

 

 

5. Procurement & Supplier Management

  • Oversee replenishment activities and ensure stock requirements are managed within approved levels and delegated authority.
  • Monitor supplier performance, pricing, delivery lead times, backorders and service levels.
  • Build effective supplier relationships and work collaboratively with Procurement, Finance, Pharmacy and other stakeholders to resolve supply chain issues and support cost containment.

 

6. Compliance, Governance & Audit Readiness

  • Ensure Pharmacy Stores and Goods Receiving comply with applicable policies, SOPs, governance requirements and hospital standards.
  • Maintain accurate records, registers, documentation and supporting evidence required for audits, inspections and accreditation requirements.
  • Promote a culture of compliance, accountability, patient safety and sound stock management practices.

 

7. Training, Development & Continuous Improvement

  • Identify training and competency requirements within the Stores and Goods Receiving teams and ensure appropriate development is provided.
  • Coach and support employees to improve operational consistency and performance.
  • Identify opportunities to improve processes, efficiency, stock control and service delivery.

Education

Minimum qaualification of Grade 12

Experience and Requirements

  • Relevant experience in stores, inventory management, goods receiving or a related operational environment.
  • Previous supervisory or management experience.
  • Experience within a pharmaceutical, healthcare or hospital environment will be advantageous.
  • Computer literacy and experience working with stock/inventory management systems.
  • Knowledge of stock control, procurement and supplier management processes.

Other

  •  Technical and Professional: Strong knowledge of inventory and stock control, goods receiving, procurement and supplier management, billing and financial controls, reporting, governance and compliance requirements, including audit and inspection readiness. Proficiency in relevant systems and data analysis.
  • Leadership and Interpersonal Skills: Demonstrated ability to lead and develop teams, manage performance, communicate effectively, build strong stakeholder relationships, and apply sound planning, organising and problem-solving skills.
