We are seeking a professional, organised, and compassionate Admissions Clerk to join our team. As the first point of contact for patients and visitors, you will play a vital role in creating a positive and supportive hospital experience while ensuring accurate and efficient administrative processes.
The Admissions Clerk is responsible for delivering efficient, patient-centred admission services while ensuring all administrative, financial, and medical aid processes are completed accurately and in compliance with hospital policies and legal standards.
Patient Admissions & Administration
Manage pre-admissions, admissions, and confirmations efficiently
Capture and verify patient information, medical aid details, and authorisations
Ensure all documentation is complete, accurate, and compliant
Submit accounts correctly to funders and manage rejected claims
Maintain accurate patient records and filing systems
Coordinate with wards and theatre teams for effective bed and procedure planning
Ensure correct ICD-10 coding and billing
Reception & Frontline Service
Serve as the first point of contact for patients and visitors
Provide professional, friendly, and empathetic assistance at all times
Handle calls with excellent telephone etiquette
Guide patients to the correct departments and assist with forms
Ensure strict confidentiality in line with POPIA requirements
Financial Administration
Verify medical aid benefits and explain co-payments or shortfalls
Prepare and communicate pre-admission cost estimates
Collect payments and manage receipting accurately
Identify financial risks and escalate where necessary
Support follow-up on outstanding accounts
Customer Service & Communication
Communicate clearly with patients, families, doctors, and colleagues
Manage expectations by providing updates on admissions and delays
Resolve queries and complaints professionally and efficiently
Build strong working relationships across departments
Quality, Compliance & Risk Management
Adhere to hospital policies, SOPs, and relevant legislation
Maintain accurate system notes and documentation
Participate in audits and quality improvement initiatives
Ensure a clean, organised, and professional workspace
Teamwork & Continuous Improvement
Collaborate with the admissions team and hospital departments
Adapt to changing workloads and patient volumes
Identify process improvements and share ideas with management
Stay updated on medical aid rules, billing processes, and industry changes

Computer literacy and experience with hospital systems preferred
